KOYOJU Plywood Corporation (hereinafter referred to as the “Company”) hereby establishes the following Privacy Policy (hereinafter referred to as this “Policy”) regarding the handling of users’ personal information in connection with the services provided through this website (hereinafter referred to as the “Services”).

1.Personal Information

“Personal Information” means “personal information” as defined in the Act on the Protection of Personal Information of Japan.

Personal Information refers to information relating to a living individual that can identify a specific individual through a name, date of birth, address, telephone number, contact information, or other descriptions contained in such information. It also includes information that can identify a specific individual by itself, such as data relating to physical appearance, fingerprints or voiceprints, and the insurer number shown on a health insurance card (personal identification codes).

2. Methods of Collecting Personal Information

When a user registers to use the Services, the Company may request Personal Information such as the user’s name, date of birth, address, telephone number, email address, bank account number, credit card number, and driver’s license number.

The Company may also collect transaction records and payment-related information containing users’ Personal Information from its business partners, including information providers, advertisers, and advertising distributors (hereinafter collectively referred to as “Business Partners”).

3. Purposes of Collecting and Using Personal Information

The Company collects and uses Personal Information for the following purposes:

  • To provide and operate the Company’s Services;
  • To respond to inquiries from users, including verifying their identities;
  • To send users emails regarding new features, updates, campaigns, and other information concerning the Services they are currently using, as well as information about other services provided by the Company;
  • To contact users as necessary regarding maintenance, important notices, and similar matters;
  • To identify users who have violated the Terms of Use or who attempt to use the Services for fraudulent or improper purposes, and to refuse such users access to the Services;
  • To allow users to view, modify, or delete their registration information and review their usage status;
  • To charge users fees for paid services; and

4. Changes to the Purposes of Use

The Company may change the purposes for which Personal Information is used only when the revised purposes are reasonably considered to be related to the purposes in effect before the change.

If the purposes of use are changed, the Company shall notify users of the revised purposes or publish them on this website in a manner prescribed by the Company.

5. Provision of Personal Information to Third Parties

The Company shall not provide Personal Information to any third party without obtaining the user’s prior consent, except in the following cases. This shall not apply, however, where such provision is permitted under the Act on the Protection of Personal Information or other applicable laws and regulations:

  • When it is necessary to protect a person’s life, physical well-being, or property and it is difficult to obtain the consent of the individual concerned;
  • When it is particularly necessary to improve public health or promote the sound development of children and it is difficult to obtain the consent of the individual concerned;
  • When it is necessary to cooperate with a national government agency, local government, or a party entrusted by either of them in carrying out duties prescribed by laws and regulations, and obtaining the consent of the individual concerned could impede the performance of those duties; or
  • When the Company has notified users of or publicly announced the following matters in advance and has submitted the required notification to Japan’s Personal Information Protection Commission:
    • That the purposes of use include the provision of Personal Information to third parties;
    • The categories of data to be provided to third parties;
    • The means or methods by which Personal Information will be provided to third parties;
    • That the provision of Personal Information to third parties will be discontinued at the request of the individual concerned; and
    • The method by which requests from the individual concerned will be accepted.

Notwithstanding the preceding paragraph, the recipient of Personal Information shall not be regarded as a third party in any of the following cases:

  • When the Company entrusts all or part of the handling of Personal Information to another party to the extent necessary to accomplish the purposes of use;
  • When Personal Information is provided in connection with the succession of a business due to a merger or other circumstances; or
  • When Personal Information is used jointly with a specific party and the individual concerned has been notified in advance—or information has been made readily accessible to the individual—regarding the joint use, the categories of Personal Information to be jointly used, the scope of the parties jointly using the information, the purposes for which those parties will use it, and the name of the person or entity responsible for managing the Personal Information.

6. Disclosure of Personal Information

When the Company receives a request from an individual for the disclosure of their Personal Information, the Company shall disclose such information to the individual without delay.

The Company may, however, decline to disclose all or part of the information if disclosure would result in any of the following circumstances. If the Company decides not to disclose the information, it shall notify the individual of that decision without delay.

A fee of JPY 1,000 shall be charged for each disclosure request.

  • When disclosure could harm the life, physical well-being, property, or other rights or interests of the individual concerned or a third party;
  • When disclosure could significantly interfere with the proper conduct of the Company’s business; or
  • When disclosure would otherwise violate applicable laws or regulations.

Notwithstanding the preceding paragraph, the Company will not, in principle, disclose information other than Personal Information, such as browsing history and user attribute information.

7. Correction and Deletion of Personal Information

If a user’s Personal Information held by the Company is incorrect, the user may request that the Company correct, supplement, or delete such Personal Information (hereinafter collectively referred to as “Corrections”) in accordance with the procedures prescribed by the Company.

If the Company determines that it is necessary to comply with a user’s request under the preceding paragraph, the Company shall make the requested Corrections without delay.

8. Suspension of Use and Other Measures

If an individual requests that the Company suspend the use of or erase their Personal Information (hereinafter collectively referred to as “Suspension of Use”) on the grounds that the Personal Information is being handled beyond the scope of the stated purposes of use or was obtained through improper means, the Company shall conduct the necessary investigation without delay.

If, based on the results of the investigation, the Company determines that it is necessary to comply with the request, the Company shall implement the Suspension of Use without delay.

If the Company implements a Suspension of Use under the preceding paragraph or decides not to implement it, the Company shall notify the user of its decision without delay.

9. Changes to this Privacy Policy

Except where otherwise provided by applicable laws and regulations or by this Policy, the Company may change the contents of this Policy without notifying users.

Unless otherwise specified by the Company, a revised Privacy Policy shall become effective when it is published on this website.
